General booking conditions which set out below, form an entire part of the service contract between Vietnam Oriental Tourist (VOT) and clients

Prices:

All prices quoted to VOT’s clients are available from 01 January 2008 to 31 December 2008 and are based on the period of market’s conditions when VOT set up Tour program’s brochure

Rate quoted to clients on our website can change more than 30 days prior to your arrival, in case of changing in price with market, transport, restaurants and accommodation. These changes of rates affect price of your travel may be up or down. We warrant all price of your travel will not be changed within 30 days prior to your departure.

Children’s rate for tour service (It’s only applicable for children under 12 years): can be reducing prices all most part of their journey, depending on policy of transport (airlines, car, bus, train…), restaurant services and respective hotels, in most case, sharing room with adults. Triple room includes one – double bed and accompanies small bed in Asian’s regulation.

Making a reservation and booking guarantee

When VOT receive a deposit of your booking, we’ll send the final confirmed programmer in writing.

1.     20% deposit of the total is requested upon confirmation of your booking, once you making this reservation.

2.     The remaining balance of your booking price (80%) will be paying fewer 30 days prior to arrival.

Payment                        

Except as otherwise agreed by VOT, client's payment shall be paid by cash, credit card, or by bank transfer. These payment methods have to be done in VOT office or representative office. If payment is by credit card, and additional 3% will be added on our tariff rates 

-         10% total fee if the cancellation or amendment is received by VOT office is more than 45 days in advance

-         20% total fee if the cancellation/ amendment is between 15 to 45 days prior to arrival

-         30% total fee if the cancellation/ amendment is between 7 to 15 days in the advance

-         50% total fee if the cancellation/ amendment is between 2 to 7 days in the advance

-         Total fee of your reservation if the cancellation/ amendment is less than 2 days prior to your departure

VOT are refundable the deposits by bank transfer. Bank transfer fee will be charged clients. Clients must also lose amount of fee for the cancellation/ amendment to respective hotels and individual restaurant that their policy set out in advance

VOT is professional in organizing customized tour. There fore VOT is rare for cancellation/ amendment your reservation and these situations can happen being out of VOT’s ability and wants. In case of cancellation/ amendment by VOT, VOT will be fully refundable your payment and nothing can compensate clients for this cancellation/amendment.

Tour group need to join the fix number traveler. If we can’t be enough gathering on demand within 15 days prior to the departure. VOT able to cancel this tour and will suggest travelers join an other tour. We are so sorry having to said that traveler will not be get compensate for this cancellation/ amendment

VOT shall not refundable your service that you make before booking and not using

Liability

If VOT change Tour service or Tour Itinerary without objective reasons and these changing affect clients, VOT will provide other services to fill in your tour or return  amount of your payment for services which are not using in your tour or other services quality is lower than your reservation

Obviously, VOT will try finding alternative means  in case of force majored, special status. However VOT will not be responsible for any additional expenses

VOT is playing an intermediary role between clients and suppliers (airlines, restaurants, hotels, transport operators) there fore VOT will not be liable to the clients, by reason of breach of services or unsatisfactory services provided to the clients by third parties and VOT also won't be liable to the suppliers, which are beyond the control of and/or sustained by an act or default of company providing the services to the clients. In case of amendment (cancellation booking airlines) VOT will try find an other flight to fill in it and VOT warrant that will not be responsible and/or liable for any additional expense

VOT won't be responsible for every client's acts that is not in all VOT's tour programmer and VOT's contract

Restaurant and hotel accommodation

Clients have to check out at 12.00 and check in from 14.00 in the international standard for hotels and restaurants. If clients require rents of  outside hours, you must expend this extra, and this expense is out of your travel's total fee

Visa and passport

Your visa entry and passport have to effect on the period of tours

With clients need making visa for tours, VOT already do it. VOT won't responsible for every errors information provided from clients to do visa entry, or your visa entry is not accepted by local government.

Travel insurant

VOT recommend to clients should take out a tourist insurant prior to your travel
